Odoo implementation, from first process map to go-live

We run the whole project. We map how your business works today, configure Odoo around it, migrate your data, train your people and stand behind the cutover. Seven phases, each ending in something you sign off before the next one starts.

An Odoo system being built across the seven phases of a project A workspace that begins as an empty frame and gains structure, data, sign-off, users and a live indicator as the project moves through kickoff, planning, execution, testing, training, go-live and hypercare.

Project kickoff. Nothing is built yet. We agree the goals, the scope and who decides what.

Planning. Your processes get mapped and the solution designed, on paper, before anything is configured.

Execution and development. Odoo is configured against that design, the customizations are built and your data is loaded.

User acceptance testing. Your team runs real business scenarios through it and signs off what works.

Training. The people who will use it learn it, on your own configured system.

Go-live. Balances, stock and open orders move across. Odoo becomes the system of record.

Hypercare. We stay close while the business settles in, then hand over to ongoing support.

What the project covers

Process mapping
How your business runs today, department by department, written down and agreed.
Solution design
Which Odoo apps, which edition, and how the pieces fit your workflow.
Configuration
Standard Odoo set up against the agreed design, not a default install.
Finance setup
Chart of accounts, tax, multi-company and multi-currency, designed at the start by chartered accountants. It is the hardest part to change after go-live.
Custom development
Modules, workflows and reports where standard Odoo stops short of what you need.
Data migration
Customers, suppliers, products, stock and opening balances, checked before and after.
Integrations
Connections to the systems you are keeping, through APIs or middleware.
Testing and training
Scripts for your team to test against, then role-based training on your own system.
Cutover and hypercare
A planned go-live date, then 30 days of close support while the business settles in.

The seven phases, and who does what in each

The question every ERP buyer actually has is how much of their own team’s time this takes. Pick any phase to see the answer.

Project kickoff

What we do
We agree goals, scope and what success looks like, set the project team, and name the people who can make decisions.
What your team does
Name a project owner, and one decision maker per department.
You get
A scope document and a project plan with dates.

The Odoo apps a project like this touches

  • Selling

A first enquiry through to a paid invoice, whether the order comes from a salesperson, the web shop or a counter.

    • CRM
    • Sales
    • Website
    • eCommerce
    • Point of Sale
  • Buying and stock

What you need to buy, what you already hold, what you make, and what comes back.

    • Purchase
    • Inventory
    • Manufacturing
    • Quality
    • Repair

One ledger

Every transaction above posts here as it happens. The accounts become a by-product of the work rather than something rebuilt at month end.

  • Accounting
  • Invoicing
  • Expenses
  • Delivery and service

Work after the sale: projects, jobs on site, the hours against them and the kit that keeps running.

    • Project
    • Field Service
    • Timesheets
    • Maintenance
  • People

The people doing all of it, what they cost and when they are away.

    • Employees
    • Recruitment
    • Payroll
    • Time Off

Not every business needs every app. We start from how your work flows and recommend only what you will use. Some apps, Studio and Payroll among them, are Enterprise only, and Payroll localizations cover some countries and not others. We tell you which edition your requirements actually need before you commit to a licence.

Common questions

How long does an Odoo implementation take?

It depends on how many apps go live, how many companies and countries are involved, how much custom development the gaps need, and how clean your current data is. A single-company finance and sales rollout is a different project from a multi-country group with manufacturing. We give you a timeline with dates at the end of the planning phase rather than before it, because a date quoted before anyone has mapped your processes is a guess.

What does it cost?

An Odoo project has two separate costs. The licence, which you pay to Odoo per user on Enterprise and nothing at all on Community. And the implementation, which is driven by the number of apps, the custom development, the data migration and how many people need training. We scope the second after planning, so the figure rests on your requirements rather than an average.

Should we use Odoo Community or Enterprise?

Community is free and open source and covers a great deal. Enterprise adds apps Community does not have, among them Studio, Payroll, Documents and Sign, along with accounting features many finance teams expect, plus Odoo’s own hosting and support. If Community covers what you need, we will say so. The answer depends on which apps your requirements actually touch, and planning is what settles that.

How much of our own team’s time will this take?

More than most companies budget for, and that is the single most common reason projects slip. Your people are needed heavily in planning, where they walk us through how the business really runs, and in acceptance testing, where they run their own work through the system. The phases above say what we need from you at each stage, so you can plan around it.

What happens after go-live?

Thirty days of hypercare are included in every implementation, at no extra cost. That is the period when real volume hits the system and the things nobody could have tested surface: an edge case in a pricing rule, a report that needs another column, a process one team has quietly been doing differently. We fix those and tune what the first weeks reveal, then hand over to ongoing support on a planned date rather than going quiet.

What happens to the data in our current system?

We agree early what moves and what stays behind. Usually that means customers, suppliers, products, open orders, unpaid invoices, stock on hand and opening balances, with historical transactions kept in an archive of the old system rather than loaded into Odoo. Data is checked before migration and reconciled after it, and you verify the opening position before go-live.

Can you take over an implementation that has stalled?

Yes, and we are asked to fairly often. We start with an assessment of the database, the customizations and what was configured against what was actually needed. Then we tell you honestly whether the work so far is worth building on or whether a clean configuration costs you less. That assessment is a piece of work in its own right, and it is the right first step rather than a quote.

Do you work with Odoo Online, Odoo.sh or our own servers?

All three. Hosting matters more than most buyers expect: Odoo Online does not allow custom code, so if your requirements need a custom module the choice is Odoo.sh or your own infrastructure. We settle hosting during planning, once the customization list is known.
